Invitations for the mayor

All invitations need to state the date, time, venue, and background information of your event and what The Mayor is required to do.

You should always address invitation to The Mayor in the first instance. Invitations are usually accepted on a first come first served basis, but due to high demand it may not be possible for The Mayor or Deputy Mayor to accept.

To avoid disappointment, the more advance notice you give the better.

If the Mayor is busy and cannot attend, with your permission, we can approach the Deputy Mayor to see if they are available to represent the Mayor. If this is an option you would like, it would be helpful if you mention this in your invitation.

Hosting guidance

We have provided hosting guidance information for the assistance of event organisers in order that proper arrangements may be made for the visit of the Civic Head (i.e. Mayor, Mayoress, Consort, Deputy Mayor, Deputy Mayoress, Deputy Mayor’s Consort or Mayor’s Deputy).

Photos

If you are taking photos of the Mayor during your event, we would welcome being sent one or two for our records. Please also confirm if we may use them on our social media platforms to further support your event/organisation. 

No use should be made of any photograph of the Mayor in any political, commercial, advertising, promotional or public relations material without the prior written permission from the Mayor’s office.

We sometimes use photos from events that the Mayor attends for publicity purposes (e.g. social media, press releases, Mayor’s blog). You must ensure that people who appear in photographs with the Mayor have given their consent for their images to be used. This is especially important if children are involved. This consent should be recorded, and a copy sent to the Mayoral Office. Consent may be withdrawn - again, this can be done by contacting the Mayoral Office. We will share photos from the event upon request.
