How to cancel or change your event

What to do if your event is cancelled or you need to make a change.

If you need to cancel

If you need to cancel your event, please email us at events@solihull.gov.uk.  

You should not consider your event cancelled until we provide confirmation.

If we cancel your event

We have the right to cancel your Event Hire Agreement with immediate effect. We will provide confirmation to you by letter or email.  

This can happen if the Council or our Safety Advisory Group (SAG) find that the:  

  1. organiser is failing to follow the terms of the Event Hire Agreement
  2. organiser is failing to follow the requirements of our Event Policy
  3. Council and/or SAG are satisfied the weather conditions, current or forecast, pose a serious personal injury to persons or considerable damage to the park or open space
  4. event cannot go ahead due to emergency works, unauthorised encampments or any other unplanned incidents preventing use of the space

Recommendations from the Council and/or SAG will be presented, and a decision will be made if to cancel the Event Hire Agreement. This decision is final.

We are not liable for any costs if your event is cancelled.  

How to change your event

If you need to change your event, please contact us by email at events@solihull.gov.uk.

This must be 4 weeks before your event takes place.

If you choose to change your event, we reserve the right to cancel the hire or change the fees and bond as appropriate. Any unauthorised changes to events could lead to the Event Hire Agreement being cancelled. We will not accept liability for any of your costs.
